Reports to: Vice President of Glass & Doors
Hours: Full-time (8:00 a.m. to 5:00 p.m.)
Location: Green Bay

Company Description: H.J. Martin and Son is a diversified construction company specializing in commercial and residential flooring, glass and glazing, walls and ceilings, commercial doors and hardware, and millwork and fixture installation.

Position Description: This position performs administrative, coordination and office support for the Commercial Door Division in Green Bay, WI. Computer and software experience is required as well as strong communication skills. This position requires a self-motivated individual with a desire to learn more about the construction industry.

 Principal Responsibilities:

• Execute and follow through with assignments given by Vice President and Project Managers.
• Answer department and company phones, as assigned.
• Create Purchase Orders in Viewpoint/VISTA.
• Create subcontracts in Viewpoint/VISTA and follow through to completion.
• Manage and track contracts and change orders.
• Order certificate of insurance and bonding, as required for new contracts.
• Upload submittals to project-designated construction software (ProCore, ACC, etc.) and track approval status.
• Download Project Construction bulletins and RFIs.
• Assist with job close-out documents (i.e., warranty letters).
• Set up jobs in RFMS.

Other Duties As Assigned:Performs other related duties as assigned including supporting team members in the completion of their work for the purpose of ensuring the efficient and effective functioning of the business.

 Experience/Education Required:

• 3-5 years experience in a construction environment, or equivalent combination of education and experience
• Proficient in Microsoft Office applications, including Word and Excel
• Attention to detail, ability to multi-task and prioritize work, follow through on requests and take initiative and meet deadlines
• Excellent communication skills
• Strong technical, analytical and problem-solving ability

Working Environment:The usual and customary methods of performing the job's functions require the following physical demands:  some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally, the job requires 80% sitting, 10% walking, and 10% standing.
