The Staff Accountant is responsible for ensuring accurate and timely accounting in line with Generally Accepted Accounting Principles (GAAP). This role oversees accounts payable, revenue reconciliation, and monthly allocations (labor, payroll, and shared expenses), prepares management-level financial reports, and supports the annual audit process. The Staff Accountant also prepares annual 1099s and helps maintain the integrity of finance systems in coordination with the Senior Accountant and Finance Director. In addition, this position provides cross-departmental support, ensuring staff and leadership have the financial information they need to make informed decisions.

This is a full-time position based in our Washington DC office. This position will be expected to work a hybrid schedule with three days a week remotely and two days a week in person. Giffords staff are expected to be up-to-date on COVID vaccinations, including boosters.

Duties + responsibilities

  • Accounts Payable & Expenses: Oversee accounts payable processing in Bill.com, including vendor setup, invoice entry, and contract tracking completed by junior staff. Review transactions for accuracy, coding, and compliance with policies in QuickBooks. Lead annual 1099 preparation and filing.
  • Revenue & Contributions: Record and reconcile contributions across systems (QuickBooks, EveryAction, Stripe, and stock contributions). Oversee deposits, manage refunds/returned checks, and maintain restricted revenue trackers.
  • Payroll & Shared Expense Allocations: Prepare monthly labor distribution, payroll allocation, and shared expense allocation workbooks to ensure accurate cost allocation across entities.
  • Financial Reporting: Produce weekly cash-on-hand reports and monthly/quarterly budget-to-actual reports. Prepare grant, revenue, and other management reports to support decision-making across departments and leadership.
  • Audit Support: Prepare schedules, reconciliations, and supporting documentation needed for the annual audit.
  • Systems & Policy Support: Coordinate with the Senior Accountant and Finance Director to maintain integrity across finance systems (Bill.com, QuickBooks, EveryAction, Stripe, Benevity, etc.). Contribute to the refinement of finance policies and procedures and communication with non-Finance staff regarding policy updates.
  • Cross-Department Support: Collaborate with staff across departments to provide timely financial information, respond to finance-related inquiries, and support organizational initiatives.
  • Other Duties: Participate in special projects and provide general accounting support as needed.
 

Essential knowledge, skills + experience

  • A minimum of 2-3 years of accounting experience 
  • Demonstrated experience with Quickbooks Online and spreadsheet programs (Microsoft Office and Google Suite)
  • Demonstrated ability to learn and adapt to cloud based and other accounting software and applications 
  • Experience with and interest in cultivating strong relationships and working closely with people to develop an understanding of the requirements of the users of the financial information
  • Effective verbal and written communication skills, including strong presentation and active listening skills
  • Experience working in a fast-paced environment under tight deadlines with shifting priorities 
  • Superior organizational skills and an exemplary attention to detail
  • Ability to work independently and within a team setting
  • Strong interest in and commitment to gun violence prevention
  • A commitment to inclusion, diversity, equity, and anti-racism
  • Comfort working in a moderate political environment with bi-partisan and centrist constituencies

Valued non-essential knowledge, skills + experience

  • A bachelor’s degree in accounting, finance or related field
  • Experience working with a political action committee (PAC) and/or in a non-profit setting
  • Advanced Excel or Google Sheets experience
  • Experience with ADP Workforce Now, Divvy, and/or Bill.com

Salary + benefits

The salary range for this position is $69,000 - $77,000 annually, with the exact salary depending on experience. Competitive benefits include employer-funded health, dental, and vision insurance; health, transit, and parking flexible spending accounts; 401k plan with 4% employer match; reimbursement for cell phone and monthly wifi stipend, 25 days of PTO annually plus paid week closure at the end of the calendar year; and ten paid federal holidays.
